Project Details View

Every construction project in Pool Builder Geek has 10 tabs: General, Schedule, Activity Feed, Media, Files, Finance, Checklists, Warranty, Work Orders and Punchlists. This article explains what each tab holds and what you can do there.

To open a project, go to Construction > Projects and click the project’s name. Each project opens in its own tab at the top of the page, so you can keep several projects open and switch between them.

Project header

The bar at the top of every project shows the customer’s name, service address, phone and email, so this information is always in view. On the right are the project’s category (for example, Residential) and its status (for example, Not Started).

General

The General tab is the project’s home page. It has six cards:

  • Project Information: project name, template, draw schedule, project number, project type, dates (start, contract and completed) and the project team. Click the pencil icon to edit.
  • Project Location: the service address shown as Map, Satellite, Street, Survey or Photo. Use Workspace or Google Maps to open the site.
  • Project Features: the features chosen from the template, such as Main Features, Spa Features and Optional Features.
  • Additional Data: answers to the custom field forms attached to the project.
  • Equipment: each body of water (pool or spa, size, sanitizer type) with its installed equipment, product and serial number. Click Add Equipment to add more.
  • Material/User Selections: the customer’s material choices. Click Add to attach a selections template.

Schedule

The Schedule tab shows the project’s phases in three views. Switch between them in the top right.

  • Build Plan: a table of every phase with its target date, scheduled date, completed date, assignee, status, duration, and counts of photos, videos and posts. Drag the handle on the left to reorder phases. Click Add Phase to add one, or Print for a paper copy.
  • Calendar: the project’s scheduled phases on a month, week or day calendar, with the weather forecast.
  • Gantt: each phase drawn as a bar on a timeline. Arrows show dependencies, so you can see which phases move when an earlier one changes.

Activity Feed

The Activity Feed tab is where your team talks about the job. It has two columns:

  • Activity Feed: notes and updates from the office and the field. A post can be tagged to a phase (for example, Duke, Red | Rebar) and can @mention people. Team members can like and comment on posts.
  • Instructions: special instructions for the crew, with photos if needed.

Click + Add at the top of either column to post.

Media

The Media tab holds every photo and video for the project. Use the Photos and Videos buttons to switch between them. Each item shows who uploaded it and when. Use Upload to add media, Select All to pick items in bulk, and Refresh to load new uploads from the field.

Files

The Files tab stores the project’s documents, such as layouts, contracts, designs and permits. Filter by category (2D Layout, Contract, Contractor, Design, Permit or Uncategorized) using the buttons at the top. The table lists each file’s type, category, linked phases, size, upload date and uploader. Click Upload to add files. Use the ⋮ menu on a row for more options.

Finance

The Finance tab tracks the project’s money. Tiles across the top show Change Orders, Current Contract, Total Expenses, Scheduled, Outstanding and Total Man Hours Clocked. On the right you’ll see the Original Contract amount and the project’s Margin. The tab has three sub-tabs:

  • Summary: four cards. Draws lists the payment schedule and each draw’s status. Invoices lists invoices with date, status and amount. Change Orders shows each change order’s amount, approval status and whether it’s been shared with the customer. Payments logs payments received, including the method (for example, cash). Each card has + Add.
  • Timesheets: time logged to the project. Hours shows a total per employee (Regular, Break, PTO, Other). Punches shows each clock-in and clock-out. Click Export to download.
  • Bills/Expenses: vendor bills and other costs, with description, category, date, due date, status and amount. Click + Add to record a bill. Expenses add to Total Expenses and lower the Margin.

Checklists

The Checklists tab lists every checklist on the project. Each row shows the checklist number, name, linked phase (Task Name), status, assignee, scheduled and completed dates, and who created it. Filter by status, assignee, template, checklist or date range. Click + Add to attach a new checklist, or the download icon to export the list.

Warranty

The Warranty tab has two views, Coverage and Claims. Switch between them in the top right.

  • Coverage: each warranty on the project (for example, Electric, Plumbing or Pool Shell) with its period, start date and expiration date. Expand a warranty to register the products it covers, along with each product’s manufacturer, serial number, install date, installer and who registered it. Use + on a row to add a product, or Add at the top to add a warranty.
  • Claims: warranty claims filed for the project.

Work Orders

The Work Orders tab lists service and repair jobs tied to the project, such as a Break Fix call. Each row shows the work order number, service address, category, status and created date. Click a number to open the work order, + Add to create one, or the download icon to export.

Punchlists

The Punchlists tab tracks the items left to finish or fix before the job is closed out. Each row shows the item’s name, address, status, assignee, created date, creator, and scheduled and completed dates. Filter by status, assignee or date range. Click + Add to create an item.
